📖 Quick Explanation
Structure of a formal email:
- Salutation: Dear Mr Smith, / Dear Dr Patel, (named) · Dear Sir/Madam, (unnamed)
- Opening line: State your purpose immediately: I am writing to enquire about… / I am writing in response to…
- Body: One idea per paragraph. Short sentences. No contractions (I am not I’m).
- Request / action: I would be grateful if you could… / Please find attached… / Could you please…
- Closing line: Please do not hesitate to contact me if you require any further information.
- Sign-off: Yours sincerely (named recipient) · Yours faithfully (Dear Sir/Madam) · Kind regards (semi-formal)
