In fifteen years of hospitality management, I wrote hundreds of emails — to suppliers, managers, guests, HR departments. The ones that got responses had three things in common: they were short, clear, and polite. The ones that were ignored were too long, too casual, or too aggressive. Email is a skill, and it’s learnable.

🎯 Language Focus

Opening (formal) Dear Mr/Ms [Name], / To Whom It May Concern,
Opening (semi-formal) Hello [Name], / Good morning [Name],
Body — 3 parts 1. Why you’re writing | 2. Details | 3. What you need/next step
Closing Kind regards / Best regards / Yours sincerely (formal) / Thanks (informal)

✏️ Quick Practice — Try It!

1. Formal or informal? “Hey! Just checking in about the invoice.”

Informal ✗ — not appropriate for a business email to a client.
2. Order these: “Best regards / I look forward to hearing from you / Dear Ms. Chen / I am writing to enquire about…”

Dear Ms. Chen → I am writing to enquire about… → I look forward to hearing from you → Best regards ✓.
3. Rewrite politely: “Send me the report ASAP.”

“Could you please send me the report at your earliest convenience?” ✓.
4. Write your own: 3 lines to a hotel to enquire about availability in August.
