I have sent thousands of emails — job applications, complaints, appeals, formal requests. Each one from a different country, in a different situation. The best advice I can give: a formal email is not a conversation. It has a structure, and the structure does the work.
📚 The Standard Structure
- Subject line: clear, specific — Application for Head Waiter Position
- Opening: Dear Mr / Ms / Dr [Surname], (comma in UK, no punctuation in US)
- First line: state your reason — I am writing to apply for / enquire about / complain about…
- Body: one idea per paragraph; short sentences
- Closing: I look forward to hearing from you.
- Sign-off: Yours sincerely (known name) / Yours faithfully (unknown name, UK)
📚 Useful Formal Phrases
