πŸ“– From Experience

I have sent thousands of emails β€” job applications, complaints, appeals, formal requests. Each one from a different country, in a different situation. The best advice I can give: a formal email is not a conversation. It has a structure, and the structure does the work.

πŸ“š The Standard Structure

  1. Subject line: clear, specific β€” Application for Head Waiter Position
  2. Opening: Dear Mr / Ms / Dr [Surname], (comma in UK, no punctuation in US)
  3. First line: state your reason β€” I am writing to apply for / enquire about / complain about…
  4. Body: one idea per paragraph; short sentences
  5. Closing: I look forward to hearing from you.
  6. Sign-off: Yours sincerely (known name) / Yours faithfully (unknown name, UK)
πŸ“š Useful Formal Phrases

Instead of… Write…
I want I would like to / I am writing to
Can you send me? I would be grateful if you could send me…
Sorry for the wait I apologise for the delay in responding.
Thanks Thank you for your prompt reply.
I need it soon I would appreciate a response at your earliest convenience.
✏️ Your Turn
