How I Built a Reliable Voice-to-Sheet Transcription Automation System (2026)
How I Built a Reliable Voice-to-Sheet Transcription Automation System (2026)
Why I Built This
I often record voice notes on my phone — meeting summaries, ideas, tasks, or important thoughts. The problem was simple: the transcriptions stayed scattered. I wanted a system that would automatically capture them, organise them, and make the important information easy to review.
This tutorial explains exactly how I built a lightweight, reliable automation using Google Apps Script and Google Sheets.
The Goal
Create a hands-off system where:
- I record audio on my phone
- Transcribe it
- Send it to myself by email
- A script automatically saves it into a structured Google Sheet
- I can quickly see tasks, instructions, and summaries
The Tools Used
- Google Apps Script (free)
- Google Sheets
- Gmail (with labels and filters)
- Any phone transcription app that can email the text
How the System Works (Overview)
- Record audio on phone → Transcribe
- Email the transcription to myself (Subject contains “transcription”)
- Google Apps Script runs every 5 minutes
- Script detects the email, parses it intelligently, and saves it to Google Sheets
- Data is structured with clear columns (raw text, extracted tasks, action items, status, etc.)
The Google Sheet Structure
I created two sheets:
Transcriptions (Main data)
- id, timestamp, email_subject, email_from, raw_text, formatted_text, agent_instructions, action_items, status, attachments, ai_summary
Templates (For future expansion)
- name, subject, body, spelling_variants
This structure makes the data easy to read, filter, and use with AI tools later.
The Google Apps Script
The script is designed to be:
- Simple at its core
- Intelligent in parsing (handles spelling mistakes and different formats)
- Flexible for future improvements
Key features:
- Fuzzy matching for subject lines (“transcrip”, “transcription”, “transcribe”, etc.)
- Flexible body parsing using multiple possible delimiters (TASK:, TRANSCRIPTION:, etc.)
- Automatic duplicate prevention using email Message ID
- Clean logging and error handling
Step-by-Step Setup
1. Create the Google Sheet
Import or copy the structure from the model I built — the Transcriptions and Templates sheets.
2. Create the Apps Script
Go to script.google.com → New Project.
Paste the clean script (the version that uses your specific Sheet ID).
3. Set Up Gmail Filter
Create a filter that applies the label transcription-in when the subject contains words like transcrip, transcription, or transcribe.
4. Set the Trigger
Add a time-driven trigger to run the main function every 5 minutes.
5. Test It
Send yourself a test email with this format:
Subject: transcription: test meeting
Body:
TASK: Follow up with client about Q3 budget
TRANSCRIPTION:
Discussed the new project timeline. Need to call John tomorrow...Within a few minutes, a new row should appear in your Google Sheet.
Why This System Works Well for Me
- Low maintenance (runs in the background)
- Handles imperfect input (spelling mistakes, different formats)
- Gives me structured data I can actually use
- Easy to review daily without overwhelm
- Ready to connect with AI tools later for summarisation
Future Possibilities (Without Overcomplicating Now)
Once stable, I can later add:
- Automatic saving of attachments to Google Drive
- Daily AI summary of important transcriptions
- Integration with calendar for scheduled items
But the current version stays focused on reliability and simplicity.
Final Thoughts
This system took the messy process of voice notes and turned it into something organised and reviewable. It respects my need for stability and low cognitive load while still being powerful enough to grow with me.
If you want to build something similar, start small, test thoroughly, and keep the core simple.
